My company gets junk mail mixed in with real customer orders that sometimes customers get placed in our junk mail filter. Any suggestions how companies such as mine deal with the problem of customers getting caught up in the junk mix?

Are there any specific phrases that show up in every one of your email orders? You can do a reverse filter based on those phrases to keep them in the "good box."

I did not think of of reverse filtering; I am going to think about implementing some system that uses that. I do not think there is any easy answer to my problem. So many customers email with simple questions that eventually turn into sales. Their email subject lines really vary. Internet business is very new for my company and I guess I am going to need to hire more people to answer email and carefully comb through everything we receive.

Spam is such an incredible drain on resources and I don't see it getting better any time soon. The type of e-mails you are talking about(initial enquires)are vital to answer.

Is it possible to set up a new e-mail address on your website for enquiries and code it in such a way that it doesn't get picked up by the spammers? Then it could filter into a fresh enquiries folder or something like that.

I have sympathy for TimPro. I have a lot of customers who just don't put anything in the subject line, and of course, get thrown into the spam bin. Or, they will use the stupid words that the spam blockers hate, such as: "Hi," "Do you remember me," "The page is offline," "I haven't heard from you," "my order," and other stupid things that anyone who has had ANY amount of online experience should KNOW better than to use that as a subject line.

As much as you tell these people to send email to a certain email address, or to include words in the subject line, many just don't do it, or don't read, or don't use your contact forms, or can't be bothered. So, it either goes into the spam folder, OR, the alternative is to go through EVERY SINGLE EMAIL MESSAGE and not use a spam blocker, to make sure you get every message that's actually intended for you. Out of about 1400+ email messages a day, I can say that only about 10% (on a good day) are valid. The rest is spam.

The funny thing is that as soon as you try to respond, you are thrown into THEIR spam bin because they either have those words set into their blockers, or your ISP has been banned. Sheeeesh!

$uc#$. Spam blockers WILL block things -- but more than you want...

Actually there is a way. Simply set up an enquiry form on your site and take the email adresses off or alter them. Then use a product like Spamkiller and you will not lose a customer.

Thanx for responses. Currently I do not use my own spam filter because my Web server uses one 'Spam Assassin'. Then I use Outlook's junk mail filter (which I just add junk mail addresses too). How much easier will it make my life if I purchase my own spam filter to run on my computers and what are the good programs available?

Well I am a fan of having my own Spam filters. My ISP uses spam assasin and I asked for it to be turned off as it was too generic. I like the type that filters the spam off and then I can look at it and catch exactly the type of problem you are describing. Good filters require "training". With effort spam filters are efficient
